# 26/7/21 Release Notes

**Note: Please contact support to organise an update.**

**NDIS Price Guide Update**

If you have been updated anytime since April, the version you are on will have the new service upload function that the newly released NDIS price Guide for 2021-2022 will work without requiring another update! You can tell what version you have by the tickboxes underneath the NDIA type. If it looks like the following, you are right to grab a copy of the new guide and upload straight away:

If your service upload version looks like the below then you will need an update before you can use the new version. Alternatively you can get in touch with support who can send you a copy of the new price guide items and prices in the old format.

You can download a copy of the version to use from here: <https://www.ndis.gov.au/providers/pricing-arrangements>. It needs to be the XLSX version.

**Reckon Payroll and Invoicing IIF Generation**

We have added a Reckon section into CareMaster that allows you to upload account, payroll items and tracking classes that you can assign that will allow you to generate both a payroll IIF file and invoice IIF file for import into Reckon.

**Review Dates**

You can now schedule review dates on weekends! We have also adjusted the review date alert to not only show those who are within 30 days of their review date but those who have also gone past that date.

**Browse Worker Popup**

1. You can now view worker alert notes on the browse section to see if there are any relevant things that you need to be aware of when scheduling. You just need to hover over the blue note icon at the end of the worker's entry.

It gets this information from the worker's Vitals -> Notes field.

2. We have added in an "Entitled to Overtime" filter that will attempt to only show workers that will not be entitled to overtime as a result of assigning them to the Support according to the following rules:

* Will not be working more than 10 hours on that day
* Will not be working more than 38/76 hours in the current week/fortnight
* Will not be scheduled to work a shift that ends more than 12 hours after the start of their first shift that day - e.g. if scheduled to start at 8 am, they should not be working past 8 pm
* Will not be scheduled to work within 8 hours before or after a sleepover

The filtering only works based on the currently editing date for the currently editing Participant - i.e. if you are creating a recurring Support, the filter will NOT include the suggested future dates in its calculations, nor any other selected Participants in a new group.

**Browse Clients Popup**

In the More filters section we have added a Properties filter that will allow you to filter the list of clients to those assigned to a particular property on the date of the support.

**Default Goals**

You can now add templates for goals that you can use to select from when adding new goals to a client's record. You can also continue to manually enter them in as well. You can add/edit your goal templates by going to Data -> Participant Data -> Goal Templates.

 ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51020836865/original/HC_T-q0y_H72Q1g3aeF1i-zrJub6PoP6vg.png?1625622688)

**Staff Leave Overhaul**

We have added a new Leave Requests section under Staff/Volunteers where you can manually enter in any leave requests for workers or workers can submit via the new app. They can enter part or whole day requests as well as multiple days.

 ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51020833035/original/hDmPr3EAWlNi_pGhEPl9PsfsgqsWv_OPwQ.png?1625621367)

By default a new requested entered will be unapproved - this means that you will get a warning when assigning that worker to supports in the requested leave period but you can continue anyway and it will show in the roster for that worker as unapproved leave.

If leave has been approved, it will remove the worker from all supports they are assigned to in that leave period and if you try to assign them to new supports in that same period it will not let you continue. It will show in the roster as approved leave.

If leave has been rejected, they will not be removed from any supports and you can continue to assign them to supports per usual. It will not show in the roster.

Future plans for staff leave are to include in our Xero payroll integration. There are limitations on this however based on how Xero have included leave in their API so we are still planning the best option.

**Worker Alerts**

1. An overtime alert has been added that will warn you upon saving a support with a worker assigned if they may be entitled to overtime. It uses the same rules as the "Entitled to Overtime" filter in the Browse Worker popup:

* working more than 10 hours on that day
* working more than 38/76 hours in the current week/fortnight
* scheduled to work a shift that ends more than 12 hours after the start of their first shift that day - e.g. if scheduled to start at 8 am, they should not be working past 8 pm
* scheduled to work within 8 hours before or after a sleepover

It will only work based on the currently editing date for the currently editing Participant - i.e. if you are creating a recurring Support, the filter will NOT include the suggested future dates in its calculations, nor any other selected Participants in a new group.

2. No timesheet alerts have been updated to only show alerts for supports that have a worker assigned.
3. An additional alert has been added when saving a support that will check upon save that there is X minutes between the support you are saving and any other support assigned to the worker. You can set how long in the Settings by searching for minimum time between worker assigned supports.

**Client and Worker Document Expiry Dates**

Client and worker documents now include an expiry date that lets you specify when the document will expire.

We have also added a matching Expired Documents alert that will display both expired documents and those coming up to expiration.

**New Reports**

1. We have added a new report under Reporting -> Staff/Volunteers called Worker Availability that will list all worker availability in the system for the specified date range.
2. A property list report has been added under Reporting -> Properties that list each property and their details based on the filters selected.
3. Another property report has been added under the same Properties section called Property Maintenance List that lists all maintenance entries for the filtered properties.

**Incident Severity**

You can now edit the incident severity list for both client and property incidents to include options other than Major or Minor. To do this, go to Data -> Miscellaneous -> Incident Severities and select New Severity.

**Xero Invoicing**

A number of new features to our Xero Invoicing module has been added.

1. You can now itemise invoices rather than have each support on it's own seperate line. This is turned on by default so if you would like to turn it off, go to Settings -> Main Settings, search for invoices are itemised and untick the setting.

 ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51020845164/original/VY-K9cTcF84zSfCQk4DZEVIm2M6HX5rn1Q.png?1625625846)

You can adjust the line item description templates for these as well under the Admin -> Xero -> Settings -> Invoicing (Consolidated) options.

 ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51020843987/original/3XEN_2mClVFzpUbKqhI_PlkSSw7EbsHfKg.png?1625625390)

2. You can now set the default account per service organisation or service. You will need to go to Admin -> Service Organisations -> the service organisation you want to edit and look at the Xero Settings section.

 ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51020844566/original/iPvmcjYSeWhy38LEBaAgl0nypw0wsj8KIg.png?1625625556)

If you add one for a service organisation, it will flow through to all services under that service organisation. You can also set a different account for the service by going to the service list under the organisation and then editing the service Xero Settings section.

3. You can also now change line item descriptions per service organisation or service. It is in the same Xero Settings section as above for both service organisations and services, and behaves in the same manner. Services under a service organisation that has a default template selected will use the service organisation template unless you have changed it on the service.
