# Creating and editing a Recurring Booking

Recurring bookings are a great way to create a repetitive booking and push it out into the future will all the same details attached. They allow for easy updating and will allow you to make a change to 1 support that can be pushed to the other attached supports. Grouped supports can also be recurring supports.


## CareMaster Terms

Our recurring bookings are called Chains, and each support within a chain are called events.

For example when you first create a recurring support, it is all 1 chain. But if you make a change to one of the events, it separates into its own chain, effectively creating 2 chains.

\*It’s important to remember that once a chain is broken, you are no longer able to bulk change all the events at once because they may exist in different chains. You are only editing 1 chain at a time. You may need to make multiple updates to adjust all the events that were once in just one chain.


## Creating a Recurring Support

This will open up the Recurring Setting box where you can choose your support frequency pattern


**Daily** 

Set a start and end date and set an every day number for how often it occurs .i.e. Every 6 day(s) ![](https://support.caremaster.com.au/api/attachments.redirect?id=416857d6-9bfe-4e99-b974-c2aa24b5499f)

**Weekly**

Set a start and end date.

Choose a weekly frequency. Every week would be 1, whereas every 2 weeks would be 2 and so on.

        \*2 weekly works well if you have the same support details but the workers interchange every week.

Select the day (s) of the week it occurs on.

      \*If the participant has the same service multiple times a week, it is best to create just the \*Monday and save then go back and create the \*Tuesday. You can still choose multiple days for easy setup but consider the future and how often the Monday change will be the same as the Tuesday change i.e. time update, changing worker, different notes etc.…


**Monthly**

Set a start and end date.

You have a few pattern options here.

Or a more specific pattern i.e. the 4th Tuesday, every 2 months.

You can see how this could meet any required frequency that you need.

Once you have set the frequency you need, press Set.

Add the rest of the support details and Save Support.

## Saving a Recurring Support

When you press save, you will be asked how much detail of the created support did you want to copy out to all the other events in the recurring chain.

So if you are finding for example that the worker or the transport is only saving in the first support in the chain it will be that the relevant ‘also copy…’ tick boxes were not ticked when creating or updating the recurring support.


\*Similar questions are asked when you have edited and re saved a support.

**Transport**

Transport Inputs refers to any inputs you have added when ticking the

If selected, it will copy any of the below statuses to the rest of the events in the chain .i.e. Cancelled will cancel ALL events in the chain when saved.

**Worker Assignments**

If selected will apply any selected worker to the recurring support for all events in the chain. Great for bulk future booking of approved workers.


**Exclude dates when participant is on leave**

If Yes selected, it will review any participant leave dates and either not create a support or update a support if the participant is on leave.

Ignore charge by Dollars will not update the support whilst a participant is on leave as it is usually a purchase or other recurring fee

And Submit to save.


## Editing a Recurring Support frequency

When you open a recurring support, you can see the recurrence summary displayed.

You are able to click on the edit (pen) button and adjust the frequency of this recurring booking.

You can completely rewrite the day, week, or month pattern and upon saving it will delete, update and re create the new pattern as requested.

You can also easily extend the date and it will create the missing supports further into the future.


## Editing and Saving a Recurring Support

When you save a recurring support, the system needs to know how much of that change is to be applied to how much of the chain.


In this example, the start time is changing from 0930 to 1030 due to another appointment.

I make the change and press Save


The system will ask which part of the chain you want to update.

Press Only this event and Submit for a one off change.


The other 3 options will ask which parts of the update do you want to apply to the rest of your selected chain.

**This and Previous Events**

Watch out for making changes to events that may have already been Time sheeted / Invoiced or Exported.

You might not want to affect these with the change you are making.


**This and following events**

This will make the changes to all future events in this chain. The starting event is the event you have opened and are changing. Double check your date range to be sure.


**All events in the series**

This will update all future and past events in this chain. Again be mindful if you are updating a time that may have already been Time sheeted / Invoiced or Exported.

      *\*Consider if you have broken the chain at anytime before this change. You might not be updating ALL in the chain if prior changes have been made.*


Then decide which part of the change you want to copy to the other events.

**Update Transport supports**

It will further ask if you want to:

            Only create the transports that are missing or;

            Overwrite all transport data and create any missing ones


**Update Status Flags**

If selected, it will copy any of the below statuses to the rest of the events in the chain .i.e. Cancelled will cancel ALL events in the chain when saved.

**Update paid / invoiced / exported / statemented supports**

If left unchecked, supports in the chain that are included in an HCP Statement or marked as paid, invoiced, or exported or their similarly marked supplemental supports will not be updated, and will be broken out of the chain


**Update Worker Assignments**

If selected will apply any selected worker to the recurring support for all events in the chain. 


**Exclude dates when participant is on leave**

If Yes selected, it will review any participant leave dates and either not create a support or update a support if the participant is on leave.

And Submit to save.


It will now ask you to confirm your action as you are about to break the current chain into possibly different chains.

Press to confirm Breaking the recurring chain and done.
