# How to Email Rosters to Workers?

CareMaster has the ability to send an email to workers with their schedule for the week/fortnight. You will need to have your email set up in CareMaster, a quick way to tell if you do would be to try sending a password reset to yourself.

Rosters will be sent an email to staff, regardless of their alert settings/preferences.

Navigate to **Roster → Workers** from the main menu ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51119207404/original/70ty-f82HSYdX6cYpDCHLAo9SGBFq08kPA.png?1693187079)

When emailing out rosters, everything shown on the roster will be sent out, so adjust the date range and anything else desired so you're sending out exactly what you want.

Select the Date Range you want to email out rosters for, most send it out for the week or fortnight ahead. ![](https://s3-ap-southeast-2.amazonaws.com/aus-cdn.freshdesk.com/data/helpdesk/attachments/production/51119208095/original/58WHvWdvriTPr6UsrVNDiphCRiPuB2nufw.png?1693187183)

If you want to send to only specific workers or services for example, you can use the Filters button to filter the roster to show only those supports. Alternatively, leave blank and the roster will go out for all supports

Once you are happy with the date range and group of workers to send to, you can click on the Email icon.

You can change the email subject or leave as is, then click on the Send button.

It will now go through and email rosters to all workers that fit the filters and date range.

Depending on your settings, it can appear as though its loading until all workers have been sent their roster, this can take some time if there are a lot of supports. We recommend turning on the setting 'Add emails to queue instead of sending immediately' which will give you a message letting you know how many emails are being sent and if there were any immediate issues, and CareMaster will send the emails in the background over the next several minutes.

**What do the emails look like?**
Workers will receive an email that has the details of each support in the body of the email, as well as a pdf attachment.

The body of the email looks something like this:

The pdf is more of a printable version of that worker's shifts. It will look something similar to what's below, including details of the support including the client name, the service being provided, the time and any notes that have been added to the support record.

**How to check if the rosters have sent?**
Navigate to **Data → Support Notification Logs**
This can be filtered to Notification Type - Support Roster, see image below
