# Purpose

The purpose of entering Driver availability within TRIPS Web is to help the Scheduler identify which Drivers are available or unavailable for assignment to a new or existing vehicle run / container. 

E.g. When creating or editing an existing run / container scheduled to depart at 6:00 AM and return at 6:00 PM, if there were no Drivers with availability entered or their availability did not align with the departure and return times of the run, they would not appear in the dropdown list. 

**PLEASE NOTE:** If *“Create Availability for the selected driver to create vehicle run”* is selected the system will notify with an error message of the conflicting unavailability period.


# Creating Driver Availability

## Process for efficiency

The recommended process for entering driver availability, when the vehicle they will use is known, is to create a vehicle run directly from the Allocations page. By following the above guide, you will be walked through creating a vehicle run / container and at time of creation allocating a Driver. In creating the vehicle run / container and assigning a Driver, you are in turn entering Driver availability.  


## Alternative - Rostering Ahead of Time

If your Organisation wishes to roster Drivers availability and unavailability in advance, this can be done by following the steps below:

### From the Driver’s Profile 

**Step \`1 -** From the main menu select *“Drivers > All Drivers”*.

**Step 2 -** Use the Driver Search to locate the Driver, alternatively scroll down the page to locate the Driver within the list view. **Step 3 -** Once the Driver’s profile has loaded. Navigate to the *“Availability”* calendar tab and use the arrows to locate the date in which you need to enter availability or unavailability. 
**PLEASE NOTE:** The calendar view will default to the current weeks view. The calendar can be switched to a monthly view.

**Step 4 -** Click and hold dragging down and release to set availability/unavailability times. Alternatively click once on the day you wish to create the availability/unavailability to open the *“Add Availability period”* form. 

**Step 5 -** Select if you are entering availability or unavailability.

**Step 6 -** By clicking the calendar icon you will open the Calendar view, enabling you to select the date and enter the Start and End times. Alternatively click in the fields to allow you to manually type the dates and times.

**Step 7 -** If the availability or unavailability is to reoccur, click on *“Reschedule this availability period”* to allow you to set the frequency and enter an end date. Click *“Save”* to finalise.

**STEP 8 -** The Calendar will refresh to the current weeks view. Navigate to the date the availability or unavailability was entered on.
**PLEASE NOTE:** Availability will show as a blue block and unavailability will show as a grey block.
