# TRIPS Web - How to Create a New Client

## **To create a new client in the TRIPS Web application:** 


**Step 1 -** From the Main menu Select ‘Clients’. 

**Step 2 -** Select ‘Add Client’.

**General Details -** 

* Fill out all the fields that are marked with an asterisks to enable you to successfully save your new Client.
* Remembering that ( ) can not be used in the Client name fields, if used this will result in an error 
* If “date of birth is an estimate” is selected then date of birth must be entered as 01/01/XXXX, a year of birth will be guessed 
* A correctly entered phone number will result in the field turning from red to green. 
* **REMINDER -** Date of Birth is required if client is funded by Commonwealth or State Governments.

**Step 3 -** Region. Select the relevant region within your Organisation’s options that the Client resides in. Ensuring you select the blue plus button. **Step 4 -** Client Assessments. Last assessment date will normally be the date you receive referral or contact is made with client > frequency can be set at 3, 6, 12, 18 or 24 months depending on your agency. 

**Step 5 -** Demographic/Research Information. This information is required if client is funded by Commonwealth or State Governments. **Please note -** information will automatically populate here but can be changed

**Step 6 -** Approved Funding Types. Click in default circle to a make a funding type default > click on drop downs to select a funding type and then a default payer > click on the plus symbol to save this selection > you can follow this process to add another funding type if applicable

* Default Funding Type - if CHSP is selected, then the user MUST answer the required reportable data questions.
* Default Payer – Select a payer for your client based on the Funding Type selected (can be left blank) ***==NOTE: Payer MUST be selected for CHSP Funding Type as it is linked to your DEX reporting.==***

**Step 7 (optional) -** Client booking Alert. Information needed for users when making booking requests for clients – Client is DVA, do not forget DVA form for medical trips.

**Step 8 (optional) -** Default Booking Details. Information relevant to each booking for the Client or to display for the Driver when assisting the Client e.g. “Beware of the dog when engaging with the client” can be entered here. 

**Default booking priority, default booking service type and default fare collection method are optional (it is our suggestion that the default booking priority remains at Medium and you only select a default for booking service type and fare collection method, if these remain the same for each booking the client makes. If this will be changing, we suggest that these are selected at a booking level each time a booking is made).**

**Step 9 (optional) -** Primary Emergency Contact. Toggle on “Has emergency contact” to display fields, allowing you to populate the required details. At a minimum enter a contact name and phone number (please note even though it says mobile number, it will accept a home phone as long as you have 10 digits (include area code). Additional Emergency contacts can be added from within the Client’s profile after creation.

**Step 10 -** Transport Requirements. Select if your client requires a wheelchair. **Please note:** by selecting a wheelchair type, it will automatically turn on applicable assistance needs and cargo requirements (more can be added to this selection)

**Step 11 -** Default Booking Requirements. Select all applicable vehicle and seating requirements. **Please note:** You can use the ‘‘select all’’ for you vehicle types but you will still need to select your seat options

**Step 12 (optional)-** Assistance Requirements. Select the dropdown arrow to see list of options > click on applicable options and click the + icon to add each option, you can also remove options by clicking X icon **Please note:** If client has any of the wheelchair options selected, you will not be able to remove the assistance requirements that were automatically linked.

**Step 13 (optional) -** Cargo Requirements. Click on the drop-down arrow to add mobility aids and storage needs (this is not taking away from available seats in the vehicle, it is taking away from storage room in the vehicle) > click on the + icon to add these aids/space to the client’s profile > you can also remove by clicking the X icon 

**Please note -** If client has any of the wheelchair options selected, you will not be able to remove the assistance requirements that were automatically linked.

**Step 14 (optional) -** Isolation. Use the isolation toggle to indicate that a client requires isolation when transporting. When toggled on you have the ability to also add a comment.

**Step 15 (optional) -** Referral Information. Currently this field has no default data added. To add referral information, please use the “Additional Referral Options” and select from the available list under “select referral source”. Once added by selecting the blue + icon, you can then add a note if you wish to do so.

Now that you have finished all the necessary steps to create your new client, you can select *‘‘create client’’*
