Trips Web - Management & Feature Dispatch Page
Overview
Dispatch allows the user to manage day of activities, like changing client’s pick up and drop off times, adding or removing trips, managing vehicle runs and tracking driver activities.
Unallocated Bookings
Any bookings not allocated to a vehicle run on the day will sit in the unallocated bookings section at the top of dispatch (these booking are sorted in alphabetical order).
By clicking on the vehicle icon on the right of the unallocated booking, this will allow you to schedule it to a vehicle on the day.
IMPORTANT: If the current time of day has passed the time of the unallocated booking, you will need to adjust the time of the unallocated booking to after the current time before you schedule, otherwise you will not be able to allocate it to a vehicle run.
This will open the booking details page which will recommend the best available vehicle, but you can choose your own vehicle by navigating to “choose a different vehicle” below it.
When you have the right vehicle run, click on the vehicle icon next to the vehicle run you selected to assign it.
Vehicle Runs
The vehicle runs section of the dispatch page will allow you to view all vehicle runs in operation on the day. You can filter this section by time or search for a driver/client if needed.
If you expand a vehicle run, you will see the planned schedule for a vehicle/driver.
- As a driver completes their pick-ups and drop-offs, you will see the timeline down the left-hand side update to green.
- Run status will update based on where the driver is up to e.g. 4 hours early, Ontime, 1 hour behind or Complete
- Action buttons will allow you to message a driver, call a driver (if you have soft phone integration), edit a run or locate a driver on the dispatch map
- Each booking has a “view booking details” link, use this link if you need to update a client’s address
- Phone numbers for both pick-up and drop-off are visible (if contact details have been entered on either a client’s profile, or the location file)
HELPFUL TIP - If you are an organisation where you have multiple regions, remember to apply your region filter at the top of the page. This will then narrow down the data you see
Dispatch Map
The Current Vehicle Positions map on the Dispatch page provides dispatchers with a live visual view of where vehicles are currently located during service delivery. It is designed to help staff monitor fleet movement, track active journeys, and make informed operational decisions.
Key Functions
- View the live location of vehicles currently operating.
- Monitor vehicle movement across service regions.
- Identify nearby vehicles when managing bookings or reallocating trips.
Features Visible on the Map
- Vehicle Position Markers Each marker represents a vehicle currently transmitting GPS data. Selecting a marker displays additional information about that vehicle.
- Map and Satellite Views Users can switch between standard map view and satellite imagery depending on operational preference.
- View By Filter Allows dispatchers to change to view pins by either driver name or registration number
- Filter Option Used to narrow down visible vehicles based on selected criteria, such as driver, vehicle or vehicle run
- Clear Filters Removes any active filters and returns the map to the default view.
- Last Updated Timestamp Displays the most recent time the map data refreshed.
- Map Navigation Controls
Standard Google Maps controls allow users to:
- Zoom in and out
- Pan across the map
- Enter full screen mode
- Use Street View where available
Revert Request List - Overview
The Revert Request List on the Dispatch page allows dispatch staff to review and action requests submitted by drivers to revert a booking back to a previous status.
IMPORTANT: Drivers can only submit a revert request for bookings that have been picked up. If a booking has already been dropped off, the revert request cannot be actioned.
This feature provides operational control while ensuring dispatch staff can review and approve any requested status changes before they are applied.
Information Displayed
Each revert request displays the following information:
- Booking Reference Number The unique booking number associated with the request. (A link is provided so you can view the booking details)
- Vehicle Details The vehicle assigned to the booking.
- Driver Details The driver who submitted the revert request.
- Action Options
Dispatch users can choose to:
- Revert - approve the request and return the booking to the previous status.
- Decline - reject the request and leave the booking unchanged.
- Driver Reason The reason entered by the driver when submitting the revert request is visible once the “Action” button has been clicked
