Understanding Sub Regions
What you need to know if your organisation chooses to use the sub-region feature -
Sub regions are where day-to-day work happens
Main regions are just groupings for filtering/reporting
👉 All scheduling, bookings, vehicles, and drivers operate at the sub region level
How to turn on the sub region feature
Navigate to Organisation Settings > Select General Settings > Scroll to the bottom and toggle on Enable Main Region Feature and Show Regions Page
How to view and manage your regions
Go to Organisation Settings > Select Regions
What you’ll see:
A list of all regions
Their assigned Main Region (parent)
How to create a Main Region and Sub Regions
To create a region simply click on the “Create Region” > Enter a main region name > add any sub regions for this main region (remembering to click the + icon for every addition)
How to edit or re-assign your regions
To edit a main region or sub regions name click on the ellipsis icon and then select either “Edit Region” or “Reassign Region”
Editing -
- For editing, hover over region name to get the pen icon and click
- To add a region, type region name into the blank field and click on the + icon
- Once all changes have been made, click on save
Reassigning -
- Select the dropdown arrow for the region you are wanting to reassign
- Select the main region you will assign the region to
- Click on save
- Once saved the region selected will now be visible under the new main region that was selected
Once Sub Regions is turned on, you will be able to view information from 1 region, multiple regions, or all regions. To note: multi-region viewing is only available for regions that belong to the same main region
Using the Region Filter
Steps to filter by region
Use the Region filter (top bar). Select:
- One region
- Multiple regions
- Or leave as All Regions
What happens when selecting multiple regions
- Clients from all selected regions appear
- Vehicles from all selected regions appear
- Drivers from all selected regions appear
IMPORTANT -
- Multiple region selection is only available if selecting regions from the same “Parent Region”
- Multi-region selection is not currently available on the allocation page. Existing logic remains of only 1 region can be selected at a time
- If new regions are added, make sure to update staff access if applicable
Additional Helpful Information
- Validation has been introduced that will only allow clients who have shared regions to be added to a booking form. The system will only list additional clients who belong to the same region as your originally selected client.
- When making a group booking using a group booking template, users will need to make sure that they have a global region selected at the top of the page for the list of templates to populate
- A tool tip has been added that allows user to view further information on how regions work for bookings

Warning messages will display to users throughout the application to assist users when updating certain records

- Vehicles
- Group Bookings using a template
