# TRIPS Web - Services - How to Use the Custom Report Builder

## Overview

This guide provides a comprehensive overview of the Custom Report Builder, enabling you to create, customise, and generate detailed reports from your data. By following these steps, you can tailor reports to your specific analytical needs.

## Handy Hints

* Always add rule sets of **‘’deleted at’’** is empty to remove deleted bookings from your reports, and if not looking at cancellations add a rule of ‘’status’’ contains “verif” to removed cancelled bookings. 
* If you have saved your report, when you re-run the report, it will have a rule set added for a date range. Remove this rule set by clicking on the ''X'' the top right-hand corner on the rule set box before entering your new date range.
* When searching for fields, use the most direct word e.g. if looking to add client’s phone, type “phone” instead of client as this will narrow the results further for you or clients name, type “name” instead of client.

## Instructions to Access and Run a Report

1. Navigate to the “*Services”* section from the main dashboard.
2. Under the Custom Report Builder tile, select *“Create Custom Reports”* (if launching from the directory screen, click the blue *"Create report"* button in the bottom right corner).
3. Choose the primary data table you want to report on from the *"from"* dropdown (e.g., Bookings, Clients, Drivers).
4. Add (by simply typing a field name for the system to search for the field) or remove data columns (by simply click the “x” icon next to the field you want to remove) to customise the information included in your report.
5. Apply specific filter rules and date ranges to narrow down your data to the exact records you need. E.g. *“Deleted at”* is empty or *“Funding Type Name”* contains *“CHSP”*. Use the *"where"* dropdown to select date variables and apply range conditions (such as *"is between"*). Click *"Add Rule"* to apply multiple concurrent filters. 
6. Click “*Update* *Preview”* to see the results of your configuration.
7. Once satisfied, you can download the report as a CSV file or opt to have the report emailed to you by clicking the *“Email me”* button.

* **Please note:** Once a report has been run, columns can be moved by dragging and dropping. Saved report layouts can also be updated by re-running a saved report → moving the applicable columns → re-saving the updated report for future use. 

## Saving Reports 

To save a report 

1. Click on *“download”* 
2. Toggle on *“Save report”*  
3. Update your report name to desired title 
4. Select an existing folder or if you wish to create your own, type in a folder name to the *“Select folder”* field and then when the name appears highlighted in green, click on this to create the new folder. 
5. Click on *“Export”*

* **Please Note:** Saved reports can also be altered by adding/removing fields or rearranging columns. Click on “rerun report” for the report you want to alter → make your desired changes → click on “update preview” → download → save report. Remember if making updates to an existing saved report, it is good practice to delete the old report after the update has been made. 

## Viewing Saved Reports

To view your saved reports 

1. Under *“Services”* click on *“View Custom Reports”* 
2. Navigate to the appropriate folder 
3. Click on the three dots under *“Actions”* to view available options which are - 

   * Download report
   * Rename report (you will only be able to do this if you are the report owner) 
   * Move to other folder (you will only be able to do this if you are the report owner) 
   * Rerun report 
   * Delete report (you will only be able to do this if you are the report owner) 

## Sharing Reports 

### Sharing your reports 

Once *"Save Report"* is toggled on, the new *"Share Report"* toggle will appear. As per usual, name the report & select the folder you would like to save the report.

### Permissions to Share Reports 

Only the Admin role can share a report. When the Admin user saves the report, they will only see the report in the nominated folder they saved it in such as *“client reports”* but all other users will see it in the *“shared”* folder.

The relevant permissions are located in the **Organisation Settings → Manage Roles and Permissions** section.

## Troubleshooting Tips

* If your report is empty after clicking *"Preview,"* double-check your filter rules. They may be too restrictive, or there might be a typo in a filter value.
* If a desired data column is missing from the selection list, ensure you have selected the correct primary data table from the *"from"* dropdown, as available columns are dependent on this selection.
* If you have a *“server error”* message returned, this may be due to trying to use a rule that is not compatible for the report you are running. Remove the rule and then update the preview again. The error should no longer be returned. **Please note:** if there is a certain rule that you would like to be able to use and it is not working, please reach out to our Customer Care team for further investigation.
