# TRIPS Web - Services - Managing DEX Social Support

## Summary

This comprehensive guide walks through the end-to-end process of managing DEX Social Support, from setting up payers to exporting compliance reports.

## When to Use This

Refer to this guide when setting up your organisation to handle Data Exchange (DEX) reporting for Social Support Individual and/or Group services, ensuring accurate reporting.

## Overview 

1. **Create the Funding Type and Payer:** Set up a new funding type and payer in Organisation Settings specifically for Social Support Individual or Group funding.
2. **Assign Funding and Payer:** Update the client's profile to include the approved funding type and link it to the new default payer.
3. **Create Bookings:** Schedule services for the client, applying the newly assigned Social Support funding and payer.
4. **Verify Services:** Review completed bookings, adding mandatory reporting data such as Assistance Time and Service Location.

## **Creating a Payer for DEX Social Support**

1. Navigate to the profile icon in the top right and select **Organisation settings**.
2. Click on **Payers**.
3. Click the **Create Payer** button.
4. Enter a name or description for the Payer (e.g., "Social Support Group - CHSP").
5. Enter a Payer code (e.g., "SSG").
6. Select the appropriate outlet from the **DEX Outlet Detail** dropdown.
7. Under the **DEX Social Support Type** dropdown, select the applicable social support type.
8. Fill in any necessary address details.

## Assigning Social Support Funding to a Client

1. Go to the **Clients** tab and search for the specific client.
2. Open the client's profile and scroll to the **Funding Details** section.
3. Click the edit icon.
4. Locate the **Approved funding types** section.
5. If **Social Support Individual or Group** is not listed, add it. If it is, locate the **Default Payer** dropdown next to it.
6. Select the newly created Social Support Group payer from the list.

## **Creating a Booking with Social Support Funding**

1. From the client's profile, click **Create Booking**.
2. Select the booking date from the calendar.
3. Enter the destination address or select a saved location.
4. Choose the appropriate **Service Type** (e.g., Group Social Support).
5. Scroll down to the funding section and ensure the correct funding source is selected.
6. Under the **Payer** dropdown, select the applicable Social Support payer.
7. Specify the **Social Support Information** (e.g., Accompanied Activities and number of minutes).

## **Verifying Bookings for Social Support DEX Reporting**

1. Navigate to **Bookings** and select **Verify Bookings**.
2. Choose the date of the completed booking.
3. Locate the specific run in the list with your social support bookings.
4. Review the social support information is correct and there is no missing data. If there is missing data or data that needs updating: 
5. Click “Click to edit” in the service details section of the booking.
6. Choose the exact **Service Type** (e.g., Accompanied Activities).
7. Enter the **Assistance Time** provided during the service.
8. Select the **Service Location Setting** (e.g., Community).

## **Generating a Social Support Data Exchange (DEX) Report**

1. Go to the **Services** menu and locate the **Data Exchange (DEX)** section.
2. Click on **Access DEX Reporting - Social support**.
3. Select the **Date from** and **Date until** range for the report.
4. Open the **Filter by Payer** dropdown and select the relevant payer (e.g., Social Support Individual or Group).

## Common Questions

**Do I need to create a new payer for every client?** No, payers are typically created at the organisational level and can be assigned to multiple clients who use the same funding source.

**Can a client have multiple funding types?** Yes, clients can have multiple approved funding types. Be sure to select the correct default payer for each specific funding type and make sure you have the correct funding type selected as the client’s default.

**Why do I need to specify Social Support Information?** This information categorises the type of support being provided, which is essential for accurate DEX reporting.

**Do I need to verify every booking before generating a report?** Yes, only verified bookings with complete service details will be accurately reflected in the DEX export file.

**What format is the downloaded file?** The file is exported in an XML format required for direct uploading into the government Data Exchange portal.

## Troubleshooting Tips

**My DEX reports are failing when uploaded.** Ensure that all required fields, such as DEX Outlet Details in the payer setup and Assistance Time in the verified bookings, are complete and accurate before exporting.

**I can't find the DEX Outlet Detail.** Ensure that your organisation's DEX settings and outlets have been properly configured in the system beforehand. **The new payer doesn't appear in the dropdown.** Ensure the payer was created successfully. If you can see the payer profile within payers and the option is still not available on client’s profile, please contact our customer care team for assistance.

**The funding type isn't selectable.** Make sure the funding type was correctly assigned to the client's profile.

**The social support information is not visible on the booking form.** Make sure that the funding type you assigned for your client also has the applicable social support payer assigned as this is what determines if the social support information is visible on the booking form or not. 

**The report is empty when I download it.** Check that the selected date range contains verified bookings and that you have selected the correct Payer associated with those bookings.

**Social support bookings are missing from my export.** Build a report that identifies all of your social support bookings. Complete a review to ensure all bookings have a service type and assistance time added (this can be updated in verification)
