# Worker Data Setup

## **Worker Information - Updated on each Worker Profile**

### **Address Verification**

Where possible, the Roster Optimiser will try to reduce travel time by sourcing workers who are closer to the location of a rostered support. To ensure addresses are in a usable format, they must be verified with via the worker profile page.

* An address can be added and verified either when you set the Worker up initially or in the Contact Information on their Profile page.

You can also BULK VERIFY your worker addresses - go to Admin > Verify Worker Addresses > Verify All

📌 The Roster Optimiser will flag any unverified addresses and provide a link to update them.

&#x20;🗺️ There is an upper limit on how far a worker can travel before being assigned to a support. It is set at 200km but in the future this will be a configurable setting. The Optimiser considers the distance traveled starting from the worker’s home location to the location of the first support.

### **Worker Availability**

For the Roster Optimiser to create efficient and fair schedules, it needs to know when workers are available. Capturing accurate availability ensures that shifts are assigned to the right people at the right times, reducing scheduling conflicts and last-minute changes. It also helps balance workloads, improve staff satisfaction, and ensure compliance with SCHADS.

The Roster Optimiser will only recommend workers with availability windows that match the time of rostered supports.

Workers also have the access to update their Availability via the Worker App.

### **Worker Leave Requests**

Approved worker leave will be visible on the Roster Optimisation timeline, and the Optimiser will automatically exclude them from recommended assignments during that period.

❗ **If you don’t use CareMaster for leave requests**, you’ll need to ensure that the Worker Availability is updated to reflect the unavailable period.

### Location

Add a Location to your Workers on their Worker Profile in the Organisation Information section.

Only 1 Location can be added to each Worker.

📌 **Important:** The Roster Optimiser does not currently support workers set to “All Locations” as a location value. These workers will be excluded from the optimisation process. We recommend assigning them to a specific location where possible.

### **Medication Assistance**

🛠 **For Workers:** Their ability to assist with medication is defined in **Worker Profile → Qualifications → Additional Qualifications**.

📌 **Important:** The selected qualification must have **Medication Assistance** enabled. 

Go to **Data → Support Worker Data → Qualifications** to review this setting.

### **Worker Employment Information - Hours**

The Roster Optimiser reviews the inputs for the Standard / Requested & Max Hours

🛠 **To input a worker’s range of hours follow these steps:**

1. Go to the worker’s profile.
2. Select **Employment Information**.
3. Input their Standard / Requested & Max Hours

### **Worker Employment Information - Awards and Pay Rates**

At launch, the Roster Optimiser will ensure compliance with the SCHADS award. In the future, it may support the Nurses Award or be used with no award (e.g., for volunteer-based workforces).

We recommend classifying workers so that the Optimiser can accurately calculate payroll cost changes pre- and post-optimisation.

🛠 **To update a worker’s pay rate, follow these steps:**

1. Go to the worker’s profile.
2. Select **Employment Information**.
3. Select an Employment Basis \= Full Time / Part Time or Casual
4. Scroll to **Employment Classification**, select **Award**, and choose the correct **Award Classification**.
5. Select the appropriate **Classification Level**, and the correct **Pay Value** will be displayed.
6. Click **Save**.

### **Worker Service Preferences**

The Roster Optimiser will factor in worker preferences based on their profile settings. Workers can specify whether they are willing to:

* Visit male participants
* Visit female participants
* Visit aged participants
* Visit disabled participants

➡️ If these preferences are left blank, the Optimiser will assume no restrictions.

### **Unsuitable Workers and Participants**

The Roster Optimiser will exclude any workers or participants marked as "unsuitable" on a worker’s profile, ensuring they are not assigned to shifts together.

🛠 **To add unsuitable workers or participants:**

1. Click through to the worker’s profile.
2. Navigate to **Service Information**.
3. Add the names of the participants or workers in the applicable field.

### **Space Types**

Space Types help match participants with the right workers. You can select a Space Type on both the Participant and Worker profiles. The Roster Optimiser will check for matches when recommending workers.

**Examples:**

* Male Workers Only
* Wheelchair
* Back Seat Only
* Low Car
* Guide Dog
* Visually Impaired
