Managing DEX Outlet Details

To add or edit DEX outlet details, navigate to “Services” and select “Manage DEX Outlet Details”

To create select “Create Outlet” or to edit and existing outlet, click on “edit” next to the outlet you want to update

Enter an outlet name and the outlet activity id details and select “Create Outlet Detail” once complete. IMPORTANT - Leave the Case ID Suffix blank as TRIPS will automatically create these when exporting your DEX

Once you have completed this step, your new outlet will be available for selection on a payer profile

Exporting your DEX Data

Step 1 - Click on your name > click on ‘’Services’’

Step 2 - Click on ‘’Access DEX Reporting’’

Step 3 - Select your date from and until by using the calendar > Select your payers (multiple can be selected, just use dropdown to select each Funding Source you wish to include in your download) > click on “download”

Step 4 - Your download will appear in one of two places; the top of your screen in the downloads folder (as in the screen shot) or it may appear at the bottom of your screen in the left-hand corner (as shown by red box in above screen shot). You do not need to click on “open file”

Step 5 - Your file can be found by clicking on your file icon at bottom of screen > Downloads > your file should appear here, you can rename file by right clicking on file and selecting rename

Step 6 - As we do not have an error tool built into the application, you have the ability to check your data using excel. To do this -

  • Open your files
  • Open your downloads folder
  • Open a new excel document
  • Click and hold to grab the DEX file and then drag & drop the file into the blank excel sheet
  • Leave the default of ‘‘As an XML table’’ and click OK
  • Mark the checkbox for ‘‘in the future, do not show this message’’ and click OK

Step 7 - Your file will now open in a new excel worksheet and the data will be visible. To check the data -

  • Filters will automatically be on, click on the drop-down arrow in a column e.g. column G (BirthDate)
  • Click on the ☑ next to select all to deselect everything
  • Click on the ☑ next to (Blanks) to show you where you may have missing data
  • Once errors fixed in first column, clear filter and repeat the above steps for columns B, C, G, H, I, J, K, L, M, N, O, P and T

Once filter is on, use column D and E to find clients name if ‘‘consent to provide details’’ is answered ‘‘true, or use column A to find client’s ID if ‘‘consent to provide details’’ is answered ‘‘false’’.

IMPORTANT -

  1. When checking column H (Is Birth Date an estimate), if answer is TRUE make sure that the DOB in column G matches the format of 01/01/XXXX
  2. When checking data in column M (Has Disabilities), if the answer is TRUE, make sure that column V (Disability Code) is not empty/blank

Step 8 - Go to each client’s profile and update the missing information > once all missing data added, download DEX report again > check report for errors again if desired
