TRIPS Web - Organisation Settings - Funding Types and Payers

TRIPS Web enables the creation of multiple funding types, allowing you to define various funding structures and then create associated billing rules. Funding types are selectable at a client level, and a default is set. A client can have multiple approved funding types assigned to their client profile. The default funding type will populate within the booking form; a user can then override and select an alternate approved funding type at a booking level when required. For example, a client may be eligible for DVA when transporting for medical appointments but use CHSP funding when socialising or shopping.

A payer is a person or organisation that makes a payment on behalf of the client. To whom the invoice is sent. In TRIPS Web, users can create multiple payers and assign them as “Approved Payers” within the individual funding type’s settings, aiding in preventing the assignment of the incorrect payers and minimising the risk of accidental billing to the wrong payer.

==IMPORTANT -== For CHSP clients, the DEX reporting is linked through the payer, therefore for all CHSP bookings, the payer must be one of your nominated CHSP payers.

==WARNING:== If you are going to delete a funding type, please ensure that you have updated any billing rules that are using the funding types you are going to delete. If this step is not done, bookings costs may be incorrect.

PLEASE NOTE: A User must have the correct permissions to access funding Types and Payers. If you do not have access, please contact your Management Team for assistance.

To Create or Edit a Funding Type within the TRIPS Web Application

Step 1 - Click on your name in the top right-hand corner and select “Organisation Settings” from the drop-down menu.

Step 2 - Select “Manage Funding Types” to enable you to view, create or adjust funding types for your organisation.

Step 3 - To add a new funding type, click on the blue “+ Add Funding Type” button to open the “Create Funding Type” form. Alternatively to edit an existing funding type select the edit icon within the “Actions” column. Step 4 - Within the “Create Funding Type” form populate all fields marked with an asterisk and click “Create”. PLEASE NOTE: Code must be unique, meaning not used by an existing funding type and must not exceed 8 characters.
You can now create associated billing rules, or assign the new funding type to an eligible existing rule/s. Once complete, the funding type is able to be assigned to a Client and used within their bookings.

To Create or Edit a Payer within the TRIPS Web Application

Step 1 - Click on your name in the top right-hand corner and select “Organisation Settings” from the drop-down menu.

Step 2 - Select “Payers” → “Manage Payers” to enable you to view, create or adjust payer details.

Step 3 - To add a new payer, click on the blue “Create Payer” button to open the “Create Payer” form. Alternatively, to edit an existing payer click on “Edit” beside the payer.

Step 4 - Within the “Create Payer” form populate all fields marked with an asterisk and click “Create Payer”. PLEASE NOTE: Code must be unique, meaning not used by an existing funding type.
The new payer will appear in the payer list. You can now assign the Payer as an “Approved Payer” to any required funding types, locking its use down and applied at a client/booking level.
