## How to Copy forward a run within the TRIPS Web Application:

The Copy forward feature is intended to aid in duplicating an existing run and its trips to another, or multiple dates.  This feature will copy the vehicle nun, driver, all required bookings, their ordering, times, the driver break/s and vehicle run notes.
**PLEASE NOTE:** This tool does not create any sort of link between the copied vehicle runs and bookings with the original items. Unlike recurring bookings or vehicle runs the recurrence pattern cannot be edited after copied. If you need to delete a copied vehicle run and the bookings inside you will need to delete each one individually.

**Step 1 -** From the main menu select *“Allocations”*.

**Step 2 -** Use the calendar to navigate to the date of the run in which you intend to copy forward.

**Step 3 -** Prior to copying forward we must ensure that all times, addresses, client’s bookings, the vehicle, the driver if assigned, the break/s and vehicle run notes are correct and required on all future dates that you will be copying to.

**==PLEASE NOTE:==** ==The Copy forward Feature will create the vehicle run and assign the driver, if there is an existing run within the vehicle or the driver is assigned to another vehicle on this date this may create a double up.==  

**Step 4 -** Click on the “Copy Forward” icon within the right-hand corner of the run you are wanting to copy forward.

**Step 5 -** The *“Copy Vehicle Run and Allocated Bookings”* window will appear.

==As such, our recommendation is to only copy forward a month or so at a time.==

**Step 6 -** Select the dates that you wish to copy forward one by one by clicking *“Add Date”* to select.  The selected dates will appear as blue tiles visible below the date drop down for review.

**Step 7 -** By leaving *“Avoid Duplicate bookings”* toggled on the system will allocate the existing recurring bookings to the newly copied forward runs and not duplicate the bookings. 
**PLEASE NOTE:** If a trip within the copied forward run is a one-off booking and not part of a recurrence pattern the bookings will be created by the system on the days in which the run has been copied over to. 

**Step 8 -** Click on the *“Copy”* button to complete the copying forward. 

**Step 9 -** Navigate to the dates in which you have copied the run to, to ensure all is correct. 
**PLEASE NOTE:** Individual one-off client bookings can be allocated to the journeys that have been copied forward to other dates, and this will not affect the other runs as there is no linking. This is the same for time changes, addresses changes, drivers, breaks and vehicle run notes.
