TRIPS Web - Upcoming Changes for Xero Integration
As part of our ongoing development of the TRIPS Web Xero Integration, we have made a number of improvements to the way invoices and transactions are managed within the application.
These changes are designed to support the new integration while also providing a more consistent and scalable invoicing experience moving forward. As a result, you will notice updates to both the Client Profile and Verification pages.
This guide provides an overview of the changes you can expect to see, along with screenshots highlighting what has changed and where. While the overall workflow remains familiar, we encourage you to review the information below to become familiar with the updated interface ahead of release.
Global Changes
Two new pages will be introduced to the TRIPS Web application; Invoices and Transactions
Changes on the Client Profile
Clicking on the existing “Invoices & Charges” will navigate you to the new “Invoices” page and clicking on the existing “Transactions” tabs will navigate you to the new “Transactions” page
New options will be introduced on a client’s profile which will allow for prepayment of bookings
- “Pay for a booking” on the client profile - Clicking this link will take users to the transaction page where a booking can be searched for using the drop-down list, to add a transaction for a booking.
- “Pay for a booking” action on a booking - Clicking this link will take users to the transaction page where the booking will already be selected, and the amount added. The user will just need to add the payment method, receipt number (if applicable) and any comments (if applicable).
A new column will be introduced on the booking list tab called “Prepayment”. Once a booking has been paid for, this column will display that the booking has a transaction linked to it and has been paid.
Changes on the Verification Page
The “Amount Asked” column will be renamed to “Expected cost”, a new column will be added called “Actual cost” and the “Invoice Total” will be removed
IMPORTANT: Providers using the invoice total for EOM accounts will receive instructions on a new field that will be used and how to update their existing saved reports.
The “Actual cost” column will display “click to add”. This column will only need to be used if the actual cost differs from the expected cost e.g. at the time of the booking, the cost was $15 but it was actually supposed to be $20, $20 would be entered into the “Actual cost” column and this is what would be used for invoicing.
For transactions that have been entered and linked to bookings, either via the driver’s app or via an office user, these transactions will already be linked so an amount collected will be displayed. Clicking on the “View Transaction” link, will take users to the transaction page where the transaction can be viewed or edited.
