Driver’s Profile: Editing or Adding Information

To edit or add information within a Driver's Profile:

Step 1 - After initial creation of a Driver, the newly created Driver’s profile page will load. Alternatively if needing to edit or add additional information to an existing Driver, navigate to the Drivers profile by selecting “Drivers>All Drivers” from the TRIPS Web main menu, searching for and selecting the required Driver to load their Driver profile.

Step 2 - To add missing information – Hover over ‘’Click to add’’ and click. Or To edit existing information – Hover over the field you wish to edit to reveal the edit pen icon. By clicking the field it will become editable. PLEASE NOTE: Information in the “Driver Information” box cannot be edited by hovering. A user will need to hover over the three vertical dots menu, click on the dots to populate the drop down menu and select “Edit Driver”

TRIPS Web - How to Create a Driver 

Driver Alert:

The Driver Alert allows you to communicate vital information regarding the driver to office staff, such as reminders or notes about the specific driver. This alert appears at the top of the driver’s profile and can be set whilst creating the driver, alternatively you can edit or added from within the Drivers profile. PLEASE NOTE: There is a character limit of 500 words.

Step 1 - From within the Driver’s profile hover over and click on “Click here to add an alert” in the top right hand corner of the profile. PLEASE NOTE: If an existing alert exists; hover over and click on the alert text in the left hand corner to activate the field and allow you to edit or remove the alert. Select “Save” to complete the action. To delete and remove the alert altogether clear the alert text, leaving the field blank and click “Save”.

Step 2 - Populate the required information for the alert within the text field and select “Save”.

Step 3- The alert will now appear at the top of the drivers profile page.

Driver Information:

The Driver Information tab contains the basic details of the Driver. This information is initially input when creating the Driver. To edit click on the three vertical dots menu in the right hand corner of the tab to populate the drop down menu. Select the required action being; “Edit Driver”, “Update Driver Compliance” or “Deactivate Driver”. PLEASE NOTE: If using a soft phone system, clicking on the driver’s hyperlinked phone number will initiate a call to the number via your soft phone system. Alternatively click on the driver’s hyperlinked email address to populate a blank email template using your default email application, with the driver’s email address prepopulated.

Edit Driver- Click “Edit Driver” to be directed to the “Edit Driver” enabling you to update/add personal details, background & medical, driver licence details, employment details, emergency contact, equipment issued, driver abilities and alert within the one page and action the changes within the one click by selecting “Update Driver”.

Update Driver Compliance- Click to populate the “Update Driver Record Check” tab. Make the required selections and update the “Driver Record Check Date” before clicking “Update Record” to save required changes. PLEASE NOTE: Driver record checks can be enabled or disabled within organisation settings. Deactivate Driver- Select “Deactivate Driver” to deactivate the Driver. Certificates:

Keep record of a Driver’s Qualifications and the expiry date by adding a Certificate within the Drivers profile “Certificates” tab. PLEASE NOTE: Within a Users “Account Settings>Notification Preferences”, a User can select which certificates they receive notifications for.

Step 1 - To add a Certificate click on “Add certificate”

Step 2 - Click on the “Certificate type” drop down arrow to display the menu containing the pre-populated options and select the appropriate certificate type. Alternatively click “Create new” to add a new certificate type.

Step 3 - Once selected or created, the certificate type will populate within the “Certificate Type” field. Ensure all fields marked with an asterisks are populated and select “Save Certificate” to be returned to the driver’s profile where the certificate will now be displayed within the tab.

Step 4 - To delete or edit details of an existing certificate click on the three vertical dots menu to populate the drop down menu enabling you to select the required action; being “Edit Certificate” “or Delete Certificate”.

PLEASE NOTE: Multiple Certificates can be added.

Licence, Background & Medical:

The Licence, Background & Medical tab contains the details of the Drivers Licence, Background & Medical information initially input when creating the driver. This includes expiration dates that will need to be updated from time to time, or may not have been initially completed. PLEASE NOTE: to receive notifications regarding nearing expiry the check or license etc. should be added as a “Certificate”.

Step 1 - To add missing information – Hover over “Click to add’’ and click. Or To edit existing information – Hover over the field you wish to edit to reveal the edit pen icon. Click away from the field to save any changes made.

Emergency Contacts:

The Emergency Contacts tab contains the emergency contact information initially input when creating the driver. PLEASE NOTE: Multiple emergency contacts can be added for a driver.

Step 1 - To add an emergency contact click on “Add Contact” to populate the “Create Emergency Contact” window. Alternatively to edit or delete an existing contact click on the 3 dot icon to populate the drop down menu giving you the option to “Edit Contact” or “Delete Contact”.

Step 2 - Within the “Create Emergency Contact” window ensure all fields marked with an asterisks are populated and click “Create Contact”. The newly created emergency contact will appear within the Emergency Contact Tab.

Driver App Access:

The Driver App Access tab contains the status of the Drivers Driver App access. If the box “Has access to driver app” was not toggled on when the Driver was initially set up or the invite has not been actioned the Status will show as “pending setup”.

When successfully set up within the Drivers App the tab will show as “Active”. PLEASE NOTE: If the Driver has login issues and requires a new password please use the hyperlink “Send password reset link”.

Driver Requires access- Step 1- Click on the hyperlink “Send invitation link” to resend the Driver an invitation to the TRIPS Web Drivers + App.

PLEASE NOTE:

  • The Drivers App access invite expires after 60 minutes if not actioned.
  • Drivers App access credentials are stand alone from the TRIPS Web UI used by office staff. Resetting a Drivers App password will not effect a Users UI System access and vice versa.

Abilities:

The Abilities Tab on the drivers profile provides visibility of the driver’s abilities. Abilities are the relationship requirements between clients and drivers when using the optimiser for Auto Allocations. Each ability relates to training/qualifications required to support the Assistance Needs of the client when transporting. (PLEASE NOTE: these relationships are currently turned off while we make improvements)

Step 1 - To edit Abilities initially input when creating the driver, hover over the tab to reveal the edit pen icon and click on the pen icon to populate edit

Step 2 - Select the “x” within the right hand corner to remove the existing ability all together. Or select the “+ Add a certificate document” to add details for a supporting document to the existing ability. Alternatively to add a new ability, select an ability from the drop down menu at the bottom of the tab and click the blue “+” icon, then click save. Depot:

The Depot tab allows a depot/s to be selected for the Driver.

Step 1 - To edit an existing depot, hover over the tab to enable the edit pen and click on the pen icon. Make the desired changes and click “Save”. Alternatively click on the plus icon and select an add an additional/new depot and click “Save”. The changes will now appear within the Depot Tab.

PLEASE NOTE:

  • Multiple Depots can be selected for a Driver.

  • The Depot addresses populated within the drop down selections pull from the Locations page and are the locations selected against the vehicles within their profiles.

Equipment:

Keep record of equipment that has been provided to a driver and the issue date within the Equipment tab on the Drivers profile “Equipment” tab.

Step 1 - To edit any existing equipment that was assigned when the driver was created, hover over the tab to enable the edit pen and click on the pen icon. Make the desired changes and click “Save”. Alternatively click on “Add Equipment” to add additional equipment, populate the fields and “Save”. The newly added equipment will appear within the “Equipment” tab.

Availability/Vehicle Run Schedule:

Availability- The Availability tab allows a user to specify a driver’s availability or unavailability. This information flows through to the "Create Vehicle Run" window, where, if the driver’s availability aligned with the run / containers time frame, the driver would then appear in the "Available Driver" dropdown menu for selection. The Vehicle Run schedule enables visibility of existing runs/containers a driver has been assigned to and provides the ability to create a run/container directly from the driver’s profile. Comments:

The Comments tab allows a User to add and store comments relevant to the Driver against the Drivers profile.

Step 1 - To add a new comment, click on the blue “Add Comments” button. Alternatively to edit an existing comment click on the edit icon beside the comment title.
